How to activate and set up the ADP Workforce Now integration

A) Prerequisites

In order to use the integration, you must be an ADP Workforce Now customer and purchase their connector. This must be done through ADP directly and prior to setting up your integration in Agendrix.


B) Activating the integration

To activate the integration, go under ''Settings'' -> ''Integrations'' and click on ''Activate''

You will be redirected to this page:

Simply follow the steps in order to activate the integration.


C) Setting up the integration

Once the integration has been activated, you will be able to set it up under ''settings'' -> ''integrations'' -> ''manage''

1- Company Number

Select the correct company number from the drop down menu

If you have multiple company numbers (1 for each location), select this option and the select the correct company number for each location


2- Hiring Template

Choose the correct Hiring Template ( Template that will be used when creating an employee in ADP Workforce Now, from Agendrix)

❗️CAUTION to make sure you're using the right hiring template, make sure to activate the option ''Don't inactivate or delete this profile. Membership changes could impact any existing integrations.''

To do this, go to : Setup -> Hire/Rehire -> Click on the active one -> Assign User


3- Data Matching

If you have divisions in ADP Workforce Now, make sure you match the correct date to ADP's Workforce Now field.

This division will be useful for bookkeeping.

For example, your departments in ADP could be associations with your locations in Agendrix.

These fields can be found in ADP in the Setup -> Tools -> Validation Table -> Business Unit, Departments, Location section.

The Job titles field can be found in another sub-menu. Setup -> Tools -> Validation Table -> Position -> Job titles

Each field contains a code and a description. Be sure to enter the code to ensure proper employee synchronization.

❗️ It's important to know that field mapping is only used for employee synchronization. This information is not returned to ADP.


4- Synchronization options

If you wish for only new employees as well as employees who have yet to be synced to be synchronized, make sure you select this option.

If this option is not selected, all active employees will be synced, meaning that if you archive an employee in Agendrix but the profile is still active in ADP Workforce Now, the employee will be synchronized once again the next day.


5- Mappings

In the ''Mappings'' section, you will have to enter the Remote codes from ADP Workforce Now matching the information in Agendrix.

If you do not have any divisions, you will only have to do so for you Time Off types.

If you do have divisions (see point 3), you will have to enter the remote codes based on your divisions.

❗️CAUTION You must use Hourly / Earning codes.

You'll find this section in Setup -> Validation Table -> Pay Rates -> Hours & Earning Codes.

Once you've accessed the section, simply enter the code associated with the correct description, as mentioned above.


5- Employees

In the ''Employees'' section, you will have to enter the Company Code and Payroll file number for each employee.

❗️CAUTION, in ADP Workforce Now all employees will have an employee number AND a Payroll file number.

Make sure you entrer the Payroll file number and not the employee number.
