Administrators in Agendrix can set up parameters for rounding and automating clock-in times.
This article explains how they work, how to activate them and what conditions must be met.
1- Rounding
1.1- How rounding works
A rounding system allows you to round employee entries and exits directly in the time sheets.
*Note that breaks are not rounded.
Let's take the example of rounding every 5 minutes -> The employee clocks in at 8:02am and out at 4:03pm.
The time entries that will appear on his timesheet will therefore be rounded to 8:00am and 4:05pm.
Let's take an example of 15-minute rounding -> The employee clocks in at 8:08am and out at 4:03pm.
The time entries that will appear on his timesheet will therefore be rounded to 8h15 a.m. and 4:00 p.m.
*Note that you can view the actual arrival and departure times at any time, by clicking on the time entry and then on the "Log" tab.
1.2- Conditions to be met
For the rounding of clock-in and clock-out times to work, these time entries must have been clocked in by your employees.
Therefore, time entries that have been clocked in automatically or created manually by you or your employees will not be rounded.
1.3-Enable rounding
An administrator can activate the rounding of entries and exits by following these steps:
Go to the "Settings" tab in the main menu on the left
Click on the "Attendance" submenu option
Scroll down to the "Automation" section
Activate the option "Rounding value".
Set the desired rounding value, ex. every 5 minutes, every 15 minutes, etc., and save.
*Please note that you can choose a tolerance related to the rounding value or use the default setting of half the rounded value (checkbox).
2- Automation
2.1- How automation work
Automations are used to bring the earlier start time and/or the later end time back to the scheduled time.
It is possible to activate 2 types of automation:
For everything clocked in BEFORE the shift's scheduled START time
For everything clocked in AFTER the shift END time.
You can activate one or the other, or both.
2.1.1 - Shift start automation
Shift start rounding is used to bring any time entry that was clocked in earlier back to the scheduled time, according to a set time window.
For example, let's take a shift from 8am to 4pm, with a time window of 15 minutes.
Anything clocked in between 7:45am and 7:59am will automatically be brought forward to 8am, the scheduled start time.
Anything clocked in before 7:45am, ex. 7:26 am, will not be adjusted.
Anything clocked in after, ex. 8:03am, will not be adjusted (unless you have set a rounding time as described in point 1).
2.1.2- End-of-shift automation
End-of-shift rounding is used to bring the exit clocking *performed later* back to the scheduled time, according to an established time window.
For example, let's take a shift from 8am to 4pm, with a time window of 15 minutes.
Anything clocked in between 4:01pm and 4:15pm will automatically be brought forward to 4pm, the scheduled end time.
Anything clocked in before 4pm, e.x.3:52pm, will not be adjusted (unless you have set a rounding time as described in point 1).
Anything clocked in after, ex. 4:34pm, will not be adjusted (unless you have set a rounding as described in point 1).
2.2 Conditions to be respected
For automated clock-in and clock-out times to work, these time entries must have been clocked in by your employees.
This means that time entries that have been clocked in automatically or that have been created manually by you or your employees will not be rounded.
In addition, your schedule must always be published BEFORE the scheduled shift.
2.3- Activate rounding
An administrator can activate the rounding of entries and exits by following these steps:
Go to the ''Settings'' tab of the main menu
Click on the ''Attendance'' submenu option
Scroll down to the "Automation" section
Activate the setting(s) of your choice from among "Shift's planned start time" and "Shift's planned end time".
Set the time window, ex. 15min and save
