How to automate Premiums calculation

When to use automated premiums

If you have premiums that must be calculated according to predetermined settings (time of day, position, location, or for a specific person), you can create automated premiums to automate the calculation, saving a lot of time and reducing the risk of errors.

IMPORTANT: Automated premiums only work on a going-forward basis. This means an automated premium created on March 1, 2020 will only be calculated on shifts/time entries from that date onward, not before.

For Premiums that should be added manually on certain occasions, follow this procedure instead.


1 - Creating an Automatic Premium

Only administrators can create a premium by following these steps:

  1. Settings menu

  2. Premiums tab

  3. Add a premium

  4. Choose the Automatic type

You will need the Premiums module in your subscription.

Once created, automated premiums will be calculated automatically and on a going-forward basis only (i.e. not on past shifts).


2 - Type of shift

You will then need to determine which shift type your premium applies to. In the vast majority of cases, the premium should apply to shifts only.


3 - Who can get these premiums?

Restrict premiums to locations, positions, or specific people

In the second step, you can determine who can get this premium. Ask yourself whether this premium is restricted to a location, position, or certain people in your organization.

Here are a few examples:

  1. Location-based premium: The Ottawa location pays a special premium that the Montreal location is not subject to.

  2. Position-based premium: Only shift leads or supervisors get this premium.

  3. Individual premium: Only certain employees have access to this premium under their employment contract.


4 - Hours type

You will need to choose which type of hours the premium applies to.

This is also the default setting.


5 - When is the premium active?

In the fourth step, you can determine at which times of day, days of the week, or shift start/end times the premium will be triggered.

Here are common examples:

  1. Time of day: 4pm to midnight, midnight to 8am, etc. (evening/night)

  2. Day of the week: Saturday, Sunday (weekend)

  3. Shift start/end time: If a shift starts or ends after a set time, the premium will be triggered


6 - What calculation should be applied?

In the fifth step, you have three choices for different calculation methods.

  1. Apply to overlapping hours only (default): If you have an evening premium period from 4pm to midnight, and the employee works from 3pm to 11pm, only the hours from 4pm to 11pm (7h) will be included in the premium calculation.

  2. Apply to the entire shift when overlapping: Using the example above, this time all the shift's hours from 3pm to 11pm (8h) will be premium hours.

  3. Apply a fixed number of hours: Selecting this option assigns a default quantity to the premium calculation, regardless of the number of hours worked.
