The shifts and days off feature allows you to add shifts and time offs as days, half-days, and quarter-days to your schedule.
This allows you to see days instead of hours in your employees' timesheets.
1- Enable calculation in days for my employees
First and foremost, you must write to our support team via the online chat to enable this feature. Once that is done, it will be possible to enable the feature in your employees' profiles.
Here's how to do it:
1- Go to the desired person's profile and click on "Settings"
2- Enable the “Calculate in days” option and define how many hours a day length is equivalent to for this person
3- Save
2- Creating a day shift
When creating a shift for an employee you will need to choose between “full day,” “half day,” and “quarter day” and indicate a start time.
The start time will not be visible on the schedule. Both you and your employee will only see the length of the day based on the option selected previously.
Please also note that the calculation of hours will now be compiled in days for this employee.
At any time, you can disable the calculation in days for a specific shift by unchecking the option in the shift itself. You will then be able to enter the start and end time without affecting the calculation in days for other shifts.
3- Time off management
When your employees submit a leave request, they will have to choose between a full day, a half day, or a quarter day.
When approving the leave request, the time banks balances will show in days instead of hours.
4- Timesheet management
In the timesheets, you will need to display the subtotal of hours in order to see the calculation in days.
By default, the start and end times will be displayed in the timesheet along with the calculation of hours, except for time offs calculated in days.
However, in the summary of your timesheets, you will see the total in days or hours, depending on the type of calculation selected for each employee.
Please note that it is possible to disable the "Calculate in days" option in a specific time entry.
In the Attendance summary, the information will be separated in two: one line for days and one line of hours.
5- Time banks management
When adjusting the balance in a time bank, you will only need to indicate how many days you want to add or remove from the bank.
