What to do when you cannot close or finalize a pay period

The article below explains the steps to follow if you are unable to close or finalize the pay period.

*Only a member with the “administrator” role can change the status of a pay period.


1) Via the “Attendance” tab

To close or finalize payroll, simply click on the link next to the dates of the payroll period and change the status.

Closed: This status will prevent employees from modifying their timesheets.

Finalized: This status prevents all users from modifying timesheets.

If you need to reopen a finalized pay period to make changes, you can do so by clicking on “Finalized” to open it. Once you have made your changes, we recommend closing it again to avoid any unwanted changes.


2) Approve time entries

To finalize your pay period, you must ensure that all timesheets have been approved.

Some types of alerts are blocking and will prevent you from changing the status of the pay period until they have been addressed, while others can be ignored.

📌 Although some alerts can be ignored, we recommend that you always take the time to validate your timesheets and approve everything you can before finalizing your payroll period.

Blocking alerts:

These alerts must be handled in order to change the status of your pay period.

You will therefore receive this error message if you attempt to finalize the payroll period without approving them:

Non-blocking alerts:

These alerts do not need to be handled in order to change the status of your payroll period, but we strongly recommend that you handle them.
