Why are breaks automatically deducted from timesheets?

Unpaid breaks are automatically added to your employees' timesheets.

Have you or your employees noticed that breaks are automatically removed from their timesheets, or that the time taken doesn't match the time displayed on the timesheet?

This means that you have activated break automation settings.

You can easily validate the settings you've set and deactivate them if necessary.

❗️Note that only administrators can validate and modify this information. If you are not an administrator, please refer to an account administrator.


To validate your settings, follow these instructions;

  1. Click on the “Settings” tab in the menu on the left

  2. Click on the “Attendance” option

  3. Scroll down to the “Automation” section

At this point, 2 options can be activated that will affect your employees' breaks:

1- Use the scheduled break time when an employee does not clock in for the full unpaid break.

If this setting is activated, the full scheduled break will be deducted if the employee does not clock their break completely or at all.

  • If no break is clocked, the system deducts the entire scheduled break duration by default.

  • If an employee takes a break shorter than the scheduled time, the system adjusts the deduction to match the scheduled duration.

For example, if the employee had a 30 minute unpaid break scheduled and clocks in 23 minutes, the system will automatically adjust the duration of the break on the timesheet to deduct 30 minutes.

2- Automatically deduct an unpaid break after x hours of work

If this setting is enabled, the set duration will be automatically deducted after the set number of consecutive hours. This ensures that employees receive unpaid breaks in alignment with predefined work hour thresholds, maintaining consistency across timesheets.

For example, if the setting is set to a 30 minute break after 6h, all employees who have clocked in a shift lasting 6h or more will have 30 minutes unpaid break deducted automatically.

Ensuring Accurate Timesheet Deductions

To ensure break records are correct:

  1. Encourage employees to clock each unpaid break's complete duration.

  2. Verify that clocked breaks longer than the scheduled duration are accurately represented in employee timesheets (e.g., clocking 60 minutes instead of the scheduled 30).

Manually Clocked Break Deductions

When employees manually clock their breaks, the system directly deducts that duration from the timesheet. This method ensures greater precision and records actual break durations clearly:

  • If an employee clocks a break longer than the scheduled duration, the full clocked duration is deducted.

  • Multiple shorter breaks adding up to the required unpaid break duration, such as two 30-minute breaks to fulfill an hour, are accounted for accurately, surpassing scheduled minimums. To further personalize break times, administrators can adjust the scheduled duration and thresholds as necessary, ensuring the system reflects the specific needs of your organization.
