How to prepare your organization for Agendrix Payroll

What our team sets up for you, what you need to sign, and the employee information required before your first payroll.

Activating Agendrix Payroll is done together with our implementation team. Here is how the responsibilities are shared.

What our team sets up with you

During implementation, our team configures your organization using your company information:

  • Legal name and payroll account number (CRA);

  • Québec enterprise number (NEQ), if applicable;

  • Remitter type (how often you send your government remittances);

  • The company’s banking details;

  • The employer contributions specific to your province (e.g., FSS, CNESST in Québec);

  • Year-to-date (YTD) import: the current year’s payroll totals are imported from your previous system, so your tax and contribution calculations start from the right point.

You do not have to manage these settings yourself but you will have to provide the information. To change your banking details later on, contact us directly.

What you need to sign: the pre-authorized debit agreement

Before your first payroll can be processed, you must sign the Pre-authorized debit agreement (PAD). This agreement authorizes debits from your account for wages, withholdings and contributions.

  1. On the Payroll page, a Signature required banner appears.

  2. Click Sign.

  3. Read the agreement, then click Accept.

Note: the agreement provides for a reduced notice period — you may be notified of the amount as late as 1 day before the debit.

The information required for each employee

For a pay stub to be calculated, each employee profile must contain:

  • Social Insurance Number (Canada) — employee profile, HR fields;

  • Banking details (Canada) — employee profile, HR fields;

  • Date of birth and address — employee profile;

  • Province of employment — employee profile, Employment section;

  • Salary or hourly rate — employee profile, Compensation section.

Your employees can fill in several of these fields themselves during their onboarding.

Note: to select a province of employment, you must first set up its automatic public holidays in your settings.

Tip: the Employee review page shows the Missing info status along with the exact reason (e.g., “Social Insurance Number not provided”). It is the fastest way to spot incomplete profiles before running payroll.

Excluding someone from payroll

For an employee you do not pay through Agendrix (e.g., an owner), turn on the Hide employee in payroll option in their profile settings.
