How your time off is paid with Agendrix Payroll

No mapping to set up: your time off types are linked to payroll automatically. Here is how each type shows up on the pay stub.

If you have used a payroll integration before (Nethris, Payworks, etc.), you will have known the “Associations” tab. With Agendrix Payroll there is none: your time off types are linked to payroll automatically.

How each time off type shows up on the pay stub

When you finalize your pay period, time off is calculated and carried over to the current payroll:

  • Vacation: your vacation time off type creates a Vacation line (vacation pay) in the Earnings of the pay stub.

  • Holiday: your holiday time off type creates a Holidays line (public holiday pay).

  • Other paid time off (e.g., Sick leave): the hours are paid at the employee’s regular rate. The line carries the name of the time off type.

  • Unpaid time off: no earning is created.

Your vacation and holiday types are designated when Agendrix Payroll is activated with our team. You can access those in the "Time off" section in the Settings menu.

The vacation percentage

The vacation percentage (e.g., 4% or 6%) is set up in Agendrix, not in the Payroll module:

  1. Go to Settings → Time off types.

  2. Open your Vacation time off type.

  3. In the % of hours worked accrual method, enter the percentage.

Agendrix passes this percentage on to payroll for each employee. A percentage specific to an employee (in their profile) takes priority over the organization’s.

The balance then appears on every pay stub: Accrued vacation, with the vacation accrued and paid on each payroll.

The vacation shortfall

If an employee takes more vacation than their available balance, their pay stub shows the Vacation shortfall status on the Employee review page. Adjust the vacation hours or the hourly rate before submitting the payroll.

Special cases: manual earnings

For situations outside the timesheet, add an earning directly on the pay stub with Add an earning:

  • Vacation pay (no time off taken): pay out vacation without the employee being away;

  • Vacation pay (employee who has left the company): pay out the vacation balance on departure;

  • Vacation accrual adjustment: correct the accrued balance.
