You can save your most frequently used Shift into Templates that can be added with one single click by following this procedure.
Create a New Shift
There Are Two Ways of Creating a New Shift
1- For a Specific Employee
Hover your mouse on the square for a specific employee
Click on the + sign to create a new shift
A shift window will open. You will be able to:
1- Add the start and end time of the shift
2- A recurrence
3- A break
4- The position and location associated to the shift
5- Write a note for that specific shift (this note is only visible to the employee with this shift)
6- Add a premium (if you have the premium add-on)
7- Tasks (available with the Plus Plan)
8- Add a ressource (if you have the Ressources add-on)
1.2 Breaks
You can add multiple breaks to a shift. You can decide:
The duration
If it's paid or not (by default, the break is always unpaid unless specified otherwise in the settings)
A specific start time (optional)
2. You Can Create a Shift By clicking on the "Create" Button
Via the “Schedule” tab, click on the drop-down menu labeled “Create”. You can create a shift and select the date, employee, and then add information about the shift. Once you are finished, you can confirm the creation by clicking on the pink “Create” button.
3. Draft Mode and Publishing the Schedule
Once the shift is created, it will be in draft mode. You can identify if the shift is in draft mode by the dotted lines all around the shift and the pencil in the top right corner of the shift. In draft mode, the shift is not visible to the employee. To make it visible, click on "Publish."
Employees will receive an instant notification when you publish
If you make changes, you will need to publish them to alert employees
Published shifts appear with no dotted lines and a crossed out eye (the crossed-out eye means that the employee did not see it yet)
Pro tip: To minimize the number of notifications sent. We recommend that you publish only once your schedule is complete.
