If you have employees who are always paid for a fixed number of hours according to their contract, it's possible to automatically adjust their timesheets to bank overtime when too many hours are worked, and make up the hours when they've done less.
1- Set the hours threshold for employees
You can set an hours threshold for all employees.
Click on “Settings” in the main menu on the left
Click on “General“
Scroll to the bottom of the page and enter hours threshold
Save
If certain people have a different hours threshold, you can set it in their profile directly.
In the employee profile, click on the “Settings” tab
Activate “Override organization overtime settings”
Enter the hours threshold
Save
2- Adjusting time sheets
2.1 For all employees
Once all the settings are in place, you can perform an automatic adjustment for all your employees.
To make a mass adjustment;
Go to the ''Attendance'' tab in the main menu on the left
Select the appropriate pay period
Click on the piggy bank icon in the top right-hand corner
Check the “Bank overtime” option
Also check the option ''Complete timesheets with banked hours''.
Decide whether you wish to allow a negative balance or not.
This means that if 10h are missing to reach the employee's hours threshold and he/she has a balance of 5h in the bank, the timesheet will still be completed and his/her next balance will be -5h). If your employees are always to be paid the same number of hours, check this option.
Confirm the action
Click on “Apply''
All timesheets will then be adjusted to the number of hours set in the parameters, and the hours will be added to and/or withdrawn from the banks.
2.2 Adjust timesheets for individual employees
If not all your employees have a fixed hours threshold, you can also adjust them individually.
To make the automatic adjustment, go to the “Attendance” tab and click on the desired employee to access his/her timesheet.
Make sure you select the correct pay period for which you wish to make the adjustment
Click on ''Adjust timesheets hours'' located in the top right-hand corner.
A menu will open, and all you have to do is select the same options as seen in point 2.1.
