Requesting Documents from Employees

How to send a request to an employee to send you a document.

Whether it's during the onboarding of a new employee, or throughout their employment within your organization, there may be times when you need to ask them to send you a document; such as a check specimen, certification of some kind, etc.

Agendrix offers you the possibility to ask your employees to send you these documents, and even automatically file them in their employee file 🤩.

📌The document request feature requires the Plus plan.


1- Include document requests in the onboarding Form

Please note that the Onboarding Form must be set up by an account administrator.

If your Onboarding form is not already set up, you can follow this procedure.

To set up the addition of document requests to your existing welcome form;

  1. Click on the “Settings” tab in the main menu on the left

  2. Click on the “Human Resources” submenu

  3. Under the “Onboarding form” section, scroll down to “Document requests”

  4. Click on “Add a document request"

  5. Give a name to the document to be sent by the employee, and add a description if required.

  6. Determine whether you also wish to automatically file the document in a folder

  7. Click on “Save”.

Want to add more than one document? Repeat steps 4 to 7.


2- Request a document via an employee's profile

To request a document from an employee via their profile:

  1. Go to the employee's profile

  2. Click on "Documents"

  3. Click on "Upload or add"

  4. Select "Document request"

  5. Configure the document request

  6. Click "Next"

  7. If you wish, you can activate auto-classification and decide in which folder the document will be sent to

  8. Click on "Create"

The document request will be sent to the employee.


3- Send a document request at any time

To send a document request to employees at any time:

  1. Go to the "Documents" tab

  2. Click on "Documents Requests"

  3. Click on "Create" in the top right corner

  4. Choose your audience

  5. Click on "Next"

  6. Configure your request

  7. Click on "Next"

  8. Determine if you want to activate auto-classification

  9. Click on "Create"

The request will then be sent to the selected audience.


4- View document requests

You can view documents requests by following the same steps as above. You can also filter the requests to view exactly what you need.

4.1 - Managing requests

You can also send a reminder by clicking on the document. Only one reminder can be sent every 24 hours.

To modify or delete a request, click on the three little dots on the right.
