If you've activated Recuperation time banks, you'll be able to bank overtime hours, but also use the hours in this bank to complete your employees' timesheets.
To do this, make sure that the overtime threshold is set correctly in the organization settings or in the individual employee profile settings.
1. Bank overtime for all
It's possible to make an automatic adjustment for all your employees at once if each of them has a fixed overtime threshold.
❗️If some of your employees don't have a fixed hours threshold, don't make a mass adjustment. Instead, make individual adjustments (see point 2).
Go to the “Attendance” menu
Make sure you're in the correct pay period
Click on the piggy bank icon
Specify the banking action
Make sure the "Bank all overtime" box is checked
Select the time bank into which hours must be added
The multiplier will affect the hours put in the bank, make sure it is right or change it as needed (the default multiplier will match what was set for the selected bank)
If applicable, check the "Complete timesheets using hours in the bank" box and enter the corresponding details (this function allows you to use the hours already in bank to fill in incomplete timesheets)
Confirm by checking the corresponding box
Click on "Apply''
N.B.: In step 4, checking “Allow negative time bank balance” allows the employees to be paid for their usual time so that they can resume their hours later.
2. Bank hours individually
2.1 Automatic adjustment
If your employee has a fixed overtime threshold, you can use automatic adjustment.
To make the automatic adjustment, go to the “Attendance” tab and click on the desired employee to access his/her timesheet.
Be sure to select the correct pay period for which you wish to make the adjustment.
Then press the piggy bank icon in the top right-hand corner.
A menu will open allowing you to choose your banking options.
Check the “Bank all overtime” option.
Confirm that the correct bank is selected
Confirm that the multiplier is correct
Click on “Apply''
The hours will then be taken from the timesheet and added to the bank.
If you are not satisfied with the automatic adjustment, simply delete the transactions by selecting them and pressing the trash button.
The hours will be returned to the timesheet and you can make another automatic adjustment by selecting different criteria, or make a manual adjustment as shown in point 2.2
2.2 Manual adjustment
If your employee does not have a fixed overtime threshold and you wish to choose the number of hours to be added to his/her bank of accumulated hours, you can make a manual adjustment.
To do this, click on the desired day to add a time entry.
Next;
Select the “Bank” type at the top of the page
Confirm that the correct bank is selected
Select “Add hours to this bank”.
Confirm that the multiplier is correct
Enter the number of hours to be added to the bank
Click on “Save
